(1) Packaging Conference Registration Materials

Thursday, September 16, 2004
Packaging: San Jose Convention Center, 8:00 a.m. - 3:00 p.m. (Full Shift only)

A total of at least 15 volunteers along with ASTC staff will be needed to provide assistance in packaging conference registration materials for individual delegates. Refreshments will be provided.

(2) Conference Registration

A total of up to 36 volunteers per day in addition to the museum's regular volunteer staffing to support conference registration will be required. Eight individuals will be stationed at the pre-registration counters and four for on-site registration (data entry) volunteer assistance. Total of 108 shifts to fill.

On-site Registration Volunteers
Volunteers will be responsible for data entry of registration forms for the purpose of printing badges and/or tickets. Four volunteers will be required per day. Computer literacy (database systems) required. If at all possible, ASTC requests the same volunteers in this position each shift to ensure consistency since training takes some time.

Pre-registration Volunteers
Eight volunteers per day, per alphabetical grouping will be responsible for distributing registration packets/materials.

Conference registration and the information/message center will take place at the San Jose Convention Center.
Friday, September 17: 7:30 a.m. - 7:00 p.m. Shifts: 7:30 - 11:30 a.m./11:15 - 3:15 p.m./3 - 7 p.m.
Saturday, September 18: 7:00 a.m. - 5:00 p.m. Shifts: 7:00 - 12:00 p.m./11:45 - 5:00 p.m.

(3) General Volunteer Assistant

A total of 10 volunteers per day need to be available to function as swing persons, filling in for other volunteers, as breaks are needed. These volunteers may be needed to assist in stocking registration packets at registration counters or to run errands as necessary.

(4) General Information/Message Center

Up to 6 volunteers per day of the conference need to be available to staff an information/message center during conference registration days/hours. The conference information/message center area volunteers should be informed and familiar with the City of San Jose, including restaurants, sightseeing/places of interests, provide driving directions, distribute guest guides, brochures and maps, and post incoming messages for conference delegates. Additionally, volunteers should familiarize themselves with the final conference program, meeting room locations, and the San Jose Convention Center in general.

(5) Job Bank Volunteers

Each year ASTC provides a Job Bank at the Annual Conference. 4 volunteers (two per shift) need to be available to support the Job Bank as scheduled below. ASTC requests that individuals have some Human Resources experience.

(6) Exhibit Hall Entrance Badge Checker

A total of 4 volunteers per day to check badges at exhibit hall entrance will be required. Greet delegates at the entrance and ensure that only attendees with badges are permitted to enter the exhibit hall (if not, refer delegate to registration counters).

Saturday, September 18 10:30 a.m. - 6:30 p.m. Shifts: 10:30 - 3:00 p.m./2:30 - 6:30 p.m.
Sunday, September 19 12:00 p.m. - 9:00 p.m. Shifts: 12:00 - 5:00 p.m./4:30 - 9:00 p.m.

(7) Session Aides Volunteer

Each conference session/workshop will require one volunteer for the full duration of the session. Volunteer session aides are responsible for the following tasks:

Arrive at assigned meeting room 15 minutes prior to the start of the session;
Check to make sure audio visual equipment is in working order;
Check to make sure that ice water pitchers/glasses are on the head table at the front of the meeting room for presenters;
Volunteers should introduce themselves to the session leader and arrange for a signal to notify the leader that the session is coming to a close;
Assist presenters with, turning viewgraphs on overhead projectors, advancing slides (if necessary) and starting and stopping video cassette players;
Greet delegates at the door and ensure that only ASTC conference participants with badges are entering meeting room (if not, refer participant to registration counters);
For those sessions/workshops that are limited in the number of participants, volunteers are asked to collect session/workshop tickets, which allow admittance into the meeting room. The session name, date, and time will be printed on the ticket;
Take a count of the total number of participants attending the session. Session aides should report participant counts on the envelope containing the evaluation forms; and
Distribute and collect session evaluation forms.

(8) Conference Events

During the ASTC Conference, a number of events scheduled that may require a volunteer to assist in collecting tickets. Registration lists for each event will be provided. A minimum of 20 volunteers required.

(9) Airport Greeters

On Thursday and Friday of the Conference, teams of two volunteers should be staff in each of three 4-hour shifts at San Jose International's terminal A and terminal C baggage claim area to welcome ASTC attendees to the conference and to San Jose. A minimum of 20 volunteers required.
